![]() Notice that the address of the meeting is in the Location field, as well as in the body of the message. And here I can see the calendar event that's been created. And notice that pops me into Outlook on my computer. All right, so I've set up my meeting parameters. You can only have one host per meeting, but if you can't make it to the meeting, you can enter the email address of someone else here who will be present, and they'll automatically be the host and have the host privileges of letting people into the meeting and managing the participants until you arrive. There's also the option down here to set up alternative hosts. This is also where you'll find the option to start recording the meeting right away, so you don't have to manually start the recording. Each person can unmute their own mics when they want to speak. For example, you can set everyone's mic to be muted by default when they enter the meeting, which can cut down on background noise especially if you have a lot of attendees. Under advanced options, we'll find a few other options. We have Apple iCal, Google Calendar, Microsoft Outlook, and other calendars. Below that you can choose which calendar type you'd like to add this meeting to or send the invite from. With one of the telephone options enabled, you can edit the locations your our participants may be calling from, and selecting other countries or regions in here will list the numbers in those places in the invite you're going to send out. Most attendees will most likely be listening and talking through their computer speakers and microphone, but it's nice to have the telephone option available for anyone who not have a microphone or speaker to listen through. Telephone and computer audio is probably the best choice. Next is how the audio in the meeting is going to be handled. And as we've seen, individuals can always turn their cameras on and off themselves during the meeting too. If this is going to be a video meeting, I'll turn on video for both the host and the participants. Next you can choose the default video settings. Notice that it's on by default, and I have to have a passcode. For example, I can't turn the passcode option on or off. ![]() Also be aware that if your Zoom account is managed by your company, your IT department may enable some of these features by default, and you may not be able to change them without permission. So you can use any combination of these three security measures in your meeting. Meaning only people with email addresses from domain names you specify can enter. You can also choose the option to only allow authenticated users to join the meeting. ![]() As we saw earlier, you can also enable or disable the waiting room during the meeting itself. Now I do suggest enabling the waiting room in most cases, so you as the host can let people in after making sure you know them or that they belong in the meeting. Anyone else who tries to join the meeting without receiving a link, will need to know the passcode. With passcode selected, anyone you send the invite link to will be able to join the meeting without manually typing in the passcode. Now, speaking of passcodes and waiting rooms, next, we have these security section. In my opinion, it's better to let Zoom generate a new meeting ID for each meeting. So if you're having an entirely different meeting with different people a week later using your personal meeting ID, someone from a previous meeting in that same room could enter unless you have a password protected with a different passcode or have set up a waiting room. The issue with using this is that since the ID never changes anyone with that ID can enter the room at any time. ![]() Now your personal meeting ID is the ID associated with your account. Next is the option to use your personal meeting ID or to generating meeting ID automatically. In this case I'll just uncheck that, and leave this time and date. And that removes to the specific date and time fields, and it displays a reminder to set up the recurrence of the meeting in the calendar invite after it's true generated. If this is going to be a recurring meeting, you can click that option. Next specify the date and time of the meeting. It's a good idea to name it something that tells your participants what it's about. Click the plus button to schedule a new meeting. Alternately, you can go back to the Zoom desktop app, and here go to Meetings at the top. If you're logged into your account at the Zoom website, you can go to Meetings, and here just click Schedule a Meeting. We touched on scheduling earlier, but let's take a closer look at it now. So we've seen that you can start a meeting at any time, but probably in most cases, you'll want to schedule a meeting so all of your participants will have time to make sure they can attend. ![]()
